CWA SmartProcess is a business process management solution, which helps enterprises handle workflow automation, complaints, quality analysis, auditing, and more. The platform allows users create and publish process maps and documents.

SmartProcess includes various modelling modules, which allow designers to create custom business models using documents, compliance standards, data points, and risk factors. The platform offers a host of features such as approval workflows, single sign-on, document management, organization charts, schedule control, custom forms, and more. The built-in task list manager enables agents to create tasks with deadlines, view activities, and receive email notifications about new processes.

SmartProcess includes an automated complaint management system, which allows organizations to capture information using interactive forms, view statuses, and track progress. It helps managers evaluate complaints by defect type and cause, as well as customers, vendors, and resolution time. Plus, users can generate reports and export data into Microsoft Excel files.

CWA SmartProcess is our tool for knowledge management focussing on business processes. All our processes are mapped in this tool, it is a key part of our Quality management system and is esential for our ISO 9001 certification including the recent transition to the newest standard.

Pros

The tool is very flexible, easy to use and pretty straightforward. It can easily be customized and provides a very good overview about all our processes.

Cons

Some users were struggling a bit when using the process explorer to design processes, but this could be solved rather quick.

System is good and easy to implement. So far we are very pleased to the system and we are looking forward to develop more functionalities by workflows.

Pros

The system is easy to use and very well supports process modeling with documentation control. The system also has workflows that make it easy to manage processes. One big advantage of the system is the local system administrator and the possibility to modify workflows, forms, etc. without having to contact the system supplier every time. A big success with CWA is their support function, which works really well and most of the times you get a response within a couple of hours.

Cons

There are some weaknesses in system to allow users filter their tasks in home page to show only the tasks where instant actions are required. Now Filtering can be done in cases, but filter doesn´t apply to home page. Other weakness what causes sometimes a lot of wasting time when creating new forms in workflows. When there is fields with same name it is really difficult to select correct one. This causes forms to not working at all or even crash the workflow totally This weakness could be fixed with visible field codes which are unique, then it is easy to use same source field in all places without temporary naming.

Reasons for Switching to SmartProcess

Smartprocess was able to meet most of our requirements and the system seemed easy to use. Smartprocess also had configurable workflows, which was a huge advantage for the future development of the system. The pricing was also at the right level that the company could afford, if the system had been more expensive, we would not have been able to invest in it.

Pros

I like the new front-end that came along with the update in June 2018. Especially the document management system is very handy and simplifies my job in the quality department.

Cons

There are periods when the software is somewhat slowly. A few features are missing, like some field functions to readout ALL information you want into your documents.

Pros

The process modelling is intuitive and helpful in both the design period and for users. The customisation options give a plenty of flexibility. Document management options are easy to use and great for organising controlled documents.

Cons

It is not always easy to find the correct settings that you need to change and the workflow management takes time to get used to.

Manche Sachen - insbesondere bei Konzernusern - könnten noch verbessert werden (z.B. RASCI Report, Sprachfelder).

Pros

Der Freigabeworkflow für Prozesse und Dokumente inkl. Mergefields und Information an die User. Die Maßnahmenverfolgung, das Audittool. Der Support ist Spitze und auch der feste Ansprechpartner, der Details des Unternehmens und der Einstellungen kennt, löst schnell Probleme. Support nimmt Verbesserungsvorschläge auf und setzt nach Möglichkeit im nächsten Update auch um.

Cons

Die Prozessdesigner müssen auf wenige Personen eingegrenzt sein, ansonsten werden die Swimlanes nicht richtig wiederverwendet und die User nicht sauber zugeordnet.
In Konzernstrukturen sollte man die Sprachen bei der Implementierung festlegen, später wird es aufwendig.
Bei manchen Softwareeinstellungen ist das Verständnis am Anfang wichtig, ansonsten richtet man Dinge falsch ein, die aufwendig korrigiert werden müssen.
