Microsoft Bookings
About Microsoft Bookings
Microsoft Bookings is an online booking and appointment scheduling solution for small businesses, available as part of Microsoft 365. Clients can visit the booking page whenever they want, book the time and service they need, get a confirmation email and calendar invitation, and reschedule or cancel if they must. For customers who prefer to book by phone, users can simply enter their appointment details and Bookings sends all confirmations and reminders.
Microsoft Bookings provides small businesses with a unique appointment booking webpage which allows their customers to select their desired service, appointment date and time, and which staff member they wish to see. Staff and appointment availability is updated in real time, so customers can book appointments 24/7 without needing to make a phone call or wait for confirmation that their desired time slot is available. Microsoft Bookings automatically sends out confirmation emails to customers, and users can also define when automated reminder emails are sent. Customers can also reschedule or cancel their existing bookings through the scheduling page, with users able to control how much notice is required for cancellations or changes.
The centralized booking calendar in Microsoft Bookings gives users an overview of all customer appointments, with month, week, and work-week views, and a day ‘split view’ which displays staff availability for a given day. Users can manually create appointments for customers who enquire in-person or over the phone, and cancel, reschedule, or reassign existing customer appointments. Customer contact details and notes are stored in the customer list, and when a new customer makes a booking online, a new contact is automatically created for that customer. Microsoft Bookings’ mobile app allows users to manage customers, appointments, and staff availability on-the-go, and can also be used to access directions to the user’s next appointment.

It was harder to set up than the competitor. But it has additional options so worth it if you could figure it out.
Pros
It has all of the same features of the previous system that we were using. It has some features that other systems dont. The clients have been able to use it with no challenges. The reminders are worth it that it sends to people.
Cons
We were required to change to Bookings and it doesn't allow us to use Zoom easily with our students. However being forced to change to Teams did not matter since we have the full o365. Wish you could remove the price from the service.

Bookings is a great way to setup appointments and get reminders

Overall I'm impressed that it's rolled into our Microsoft License and it's saved us thousands on a separate tool. I also like that the virtual appointments app is in Teams so my users aren't going to a completely separate place.
Pros
We use bookings to manage training with clients. So they aren't setting up the appointment themselves, but it allows us to create standard appointment windows and the manager who is assigning the training to staff can see everyone's calendar at one time to assign those trainings. The SMS and email reminders are critical to success and it's great to have them as clients will get pinged about the training an intervals we decide as well as things like an automatic thank you email after the appointment. The ability to extent Bookings functionality by using it with power automate cannot be overstated.
Cons
Eh Microsoft had it more in mind for Doctor's offices and salons and things like that. I wish they'd expand the design for things like a group class with limited spots. We make it work, but it clearly wasn't designed with that in mind.

Pros
Very easy to implement. Easy to create appointment types and place on our main website. Great flexibility in customer email communications, with reminders of appointments and such.
Cons
While it's functional on a basic level, there are many many annoyances that just are unexplainable. First, you can access bookings via the web app, or you can access bookings via a Teams plugin, or use an iOS app The problem is, each method provides you a different set of options when creating the booking. Zero consistency.
In order to use bookings, you need to add everyone that uses it to the staff, AND, you have to give them full admin control. If someone gets to create bookings, they can also go in and muck with all of the settings. Horrible! The next access tier down is that they can view bookings, but not create or modify them. That's next to useless, if you ask me.
Also, every staff member's calendar now shows up in bookings. If you have a receptionist making bookings, there would be no need for their calendar to show up. In the Teams version of the app, you can remove the useless calendars. On the web version you cannot. But on the Teams version, you only have very rudimentary options for creating a booking, so you need to use the Web app to access it.
The home page in the web app is useless. It's got buttons for setting up the first time, but not what you need for day to day stuff isn't there, and there's no apparent way to change it.
In the calendar page, you can create bookings. There are boxes for customer notes and internal notes. However, once you put anything in there, the boxes are no longer labeled as to what they are. Horrible design.

Microsoft Bookings is Essential to My Business

I have completely gone hands-off with scheduling my time. I just check my calendar every day and my time with customers is already arranged. I just join the meeting at the time required.
Pros
This software has completely removed me from the need to schedule my time with customers. I used to have to reach out to each new customer directly and deal with finding time on my schedule that worked for them. I also had to deal with different time zones which made this task even more difficult. I especially like that it builds in downtime between my calls with clients. This gives me the flexibility to prevent back-to-back meetings without having to manage it myself.
Cons
I do wish the software would allow me to create a single SKU and allow the customer to book 1 hour, 2 hours etc rather than having to create a SKU for each number of hours.

The size of the work space is little bit short to show all details about title and times.
